Feature 4 of 8 · People
People & Capacity
Who we have, what they can do, how much of their week is already promised, and what their time costs. Allocations that fit are booked at once; one that would overbook someone waits for that person's own manager.
What it covers
Profile
One record per person
Designation, department, branch, manager, shift, skills and allocations on one page. A profile and a sign-in are separate, so people can be added before they need to log in.
Allocate
Reserve part of someone's week
A project lead adds a person for hours a week, between two dates, at a cost per hour. If it fits their capacity it is booked straight away.
Guard
Overbooking caught, not discovered
An allocation that would overbook someone becomes an exception in their manager's queue, and counts as forecast only until decided. Policy decides whether to route, mark or refuse it.
Find
Who is free
Adding people lists the ones with most free time first. Portfolio › Staffing lists who has a day a week or more free across the window, and who rolls off a commitment soon.
Forecast
Capacity and work ahead
For each person: capacity after shift, holidays and leave, against what they are committed to, eight weeks ahead.
Look back
Utilisation from real time logs
Delivered against promised, week by week, with how much of it is backed by logged time, so confidence in the figure is visible.
How an allocation moves
| Status | Meaning |
|---|---|
| Planned | A proposal. Does not use capacity yet. |
| Exception pending | Would overbook the person. Forecast only until their manager decides. |
| Confirmed · Active | Booked. |
| Released · Completed | Finished. |
Administrators choose the default weekly hours, the overbooking threshold (100% by default), what happens when a week is overbooked, whether assigning work to someone with no allocation is allowed, warned or refused, and the default story-point rate for new projects.
A person's page
| Tab | Shows |
|---|---|
| Overview | Committed, free or overbooked over eight weeks, how many projects hold them, when they are next away; skills, direct reports, contact details, shift and time off. |
| Capacity | Capacity and commitments side by side, week by week. |
| Work | The work assigned to them across projects, against their time. |
| Utilisation | Delivered against promised in past weeks. |
| Access | Their permissions and login, for whoever administers them. |
The organisation
- Directory: every resource sees every resource across branches. Search by name, email or ID; filter by department, designation, branch, status or whether someone manages people.
- Logins: send, resend or revoke a person's login from People. Stakeholders (executives, clients' sponsors) get a login with no resource profile, so they never appear in capacity.
- Bulk changes and import: change manager, department, designation or branch for many people at once; import people from a spreadsheet with a dry-run check first.
- Org chart: the reporting lines, with a finder.
- Skills: one catalogue for the organisation. Each person states a level: working, strong or expert. AI can suggest skills from a person's finished work, with the items behind each suggestion; nothing is saved until accepted.
Why it matters for leadership
- No silent overbooking. Every over-commitment needs a named manager's decision.
- Faster staffing. Free people, skills and roll-off dates answer "who can do this?" in one place.
- Cost alongside capacity. Each project's team cost, planned against actual, from the same allocations.
- Trustworthy utilisation, built from logged hours, with the confidence shown.
