Organisation and admin
Settings that belong to the whole workspace, not one project. They sit in the Organization and Administration groups of the sidebar, and each entry shows only to people who can use it.
The organisation's structure
Workspace managerAdmin change these; everyone with a resource profile reads them.
| Entry | Holds |
|---|---|
| Departments | Groups designations for reading. New department. |
| Designations | Job titles. A designation can name a default template, applied when someone is created on it or moved onto it. People on a removed designation move to Unassigned. |
| Branches | Offices, each with its own weekend days and holidays. |
| Shifts | Working hours patterns. Mark one as the default so new people get it. |
| Skills | The one skill catalogue. Also curated by resource managers. |
Changing the company's shape is deliberately separate from changing a person's record. Accounts and programmes live under Accounts; holidays under Calendar.
Administration
| Page | Who | What it does |
|---|---|---|
| Priorities | Administrators | The priority scale every project shares, most urgent first, with how many items sit on each. New priority. |
| Permission templates | Holders of the template-management right | Every template, marked built in or applied automatically. New template, edit grants and scopes, set a designation's default template. |
| Administrators | How every email looks: one of two presets plus any colours changed, with a live preview. | |
| Allocation policy | Administrators | The organisation-wide allocation rules, below. |
| Report a problem | Administrators | The intake form behind the app-wide Report a problem button. |
| Workflows | Workspace manager | The shared workflows projects copy when created. |
| AI usage | Those who may read AI usage | Spend by feature and person, narrowed to what you may see. |
Allocation policy
| Setting | Meaning |
|---|---|
| Default hours a week | A person's capacity when nothing more specific applies. |
| A week is overbooked above | The share of capacity above which a week counts as overbooked (100% by default). |
| When an allocation overbooks a week | Send it to the person's manager for approval, save it and mark it overbooked, or refuse it. |
| Assigning work to somebody with no allocation on the project | Warn and let it through, refuse it, or say nothing. |
| Default story point rate for new projects | The points-to-hours rate a new project starts with. |
Report a problem
- In the project that should receive reports, open Intake›Forms, make a form from the Report a problem template, and copy one of its links.
- Paste the link here and Save. The page names the form and its project. Until then, nobody sees the button.
Reports arrive in that project's intake queue with the reporter's name, email and page. If the link is revoked or expires, the button disappears until a live link is pasted. Turn off removes it.
Shared workflows
Workflows lists the shared workflows. Each opens on a full-screen canvas: statuses as nodes, allowed moves as arrows, saved as a whole with its layout. The default workflow is read only. A project edits its own copy from its settings, which never changes the shared one.
