Intake forms

A project can publish forms that anyone with the link can fill in: a client reporting a problem, a stakeholder requesting a feature. What comes back waits in a triage queue until a lead decides. Intake sits under Work in the project's sidebar, for a Lead who triages or configures forms.

Making a form

  1. Open Intake › Forms and pick a template: Report a problem, Request a feature or Ask for help. The form opens with that template's questions.
  2. Questions: add, edit and order them. Each has a label, help text, whether it is required, and a type such as text, number, date, checkbox or attachments. A question can set the work item's priority.
  3. Settings:
    • Public page: the name and description the reporter sees, the Confirmation message after sending, and its look.
    • Where accepted reports go: the epic an accepted report is filed under, so it shows up where the team plans.
    • Accept dialog defaults: the type, priority and assignee the new work item starts with.
  4. Links: Create link, choose the last day it works or Never expires, then Copy link and share it wherever people report. Revoke link stops one at once.

Triaging the queue

Intake›Queue lists reports, newest first, with a count of new ones on the tab. Filter by state (New, Accepted, Duplicate, Declined, Spam) or by form.

DecisionWhat happens
AcceptOpens the new work item form with the report's details and the form's defaults. The reporter becomes the item's reporter, and attachments carry across.
DuplicatePoints the report at the work item that already covers it.
DeclineCloses it with a reason.
SpamMarks it as spam.

Each decision records who made it. The reporter follows progress on a tracking page.

Report a problem, for PMO Assist itself

An administrator can point the app-wide Report a problem button at one of these forms. See Organisation and admin.
